Job Title: Front Office Manager

 

Basic Function Summary:

Performs a variety of administrative duties for organizational and office support. Manages office operations, including but not limited to responsibility over customer service, correspondence, supplies, filing systems and some light accounting.  May supervise small staff.

 

Essential Functions:

  • Answers multi-line telephone system, takes accurate messages, screens, and directs calls and represents the organization in a courteous and professional manner.
  • Answers basic questions about STR’s faith, suggests resources and encourages and prays with callers when appropriate.
  • Places orders for resources, provides recommendations, trouble-shoots, and assists with questions for downloading of materials purchased.
  • Enters data and orders in an accurate and timely manner into multiple database systems.
  • Processes incoming and outgoing mail.
  • Composes, prepares, and proofreads correspondence and emails, maintaining confidentiality. Manages mailings including print letters, labels, and envelopes.
  • Designs, implements, and updates forms and processes as needed.
  • Maintains files in an organized and accessible manner, updating, purging, and creating new systems as needed.
  • Maintains an organized office calendar.
  • Provides administrative support for special projects including research, compiling data and preparation of summary reports.
  • Prepares cash boxes for event sales by making accurate cash count and ensures adequate cash is available for events.
  • Performs light accounting duties including accurate preparing and making of bank deposits. Maintains accurate records, performs data entry and remote deposit scanning.
  • Inventories and orders office supplies, equipment, snacks, and drinks as directed.
  • Coordinates monthly office birthday celebrations.
  • May train other employees on office procedures as needed.
  • Works in compliance with internal policies, standards, and external regulations
  • Maintains quality relationships with donors, sponsors, vendors, and external contacts
  • Performs other duties as requested

 

Skills, Knowledge and Abilities:

 

  • Proficiency in reading, writing, speaking, and understanding the English language
  • Demonstrated skill in using word processing, spreadsheet, and database computer software
  • Hands on experience with typical office machines, i.e., copiers, printers, fax machines, calculators, etc.
  • Good written and verbal communication skills
  • Pleasant phone manner and strong customer service skills
  • Strong organization skills and ability to multi-task with attention to detail and high follow-through
  • Ability to regularly sit, use hands, adjust focus for close vision, speak and hear. Occasionally will be required to walk, reach, and lift moderately heavy items.
  • Ability to interface successfully with all levels of staff, volunteers, vendors, donors, and the public

Qualifications:

 

Typically requires a high school diploma or equivalent and 1-2 years of relevant experience.  Some experience in a lead role in an office environment preferred.  Agreement with Stand to Reason’s statement of faith and agreement with teaching in Decision Making and the Will of God by Garry Friesen.
